Reporting to the Accountant, this position is responsible for a wide range of support activities inside the Finance department, as well as ensuring the smooth and efficient running of our financial processes overall. The Finance Coordinator will oversee and act as the main point of contact for Accounts Payable and Accounts Receivable, communicating with external parties and ensuring positive, professional interactions at all times. They will also be tasked with generating invoices, reconciliations, and performing data entry and ad hoc reports as needed.

We are looking for a hard-working professional with a high degree of tact and diplomacy, while at the same time possessing strong attention to detail and understanding of accounting principles.

You Will:

  • Oversee and manage Accounts Payable email, logging all expense claims, invoices, and credit card transactions into QuickBooks accounting system.
  • Serve as the first point of contact for all Accounts Payable and Accounts Receivable activities. Provide timely communication with vendors regarding the status and processing of payments. Liaise with internal staff in order to deal efficiently with queries and resolve problems.
  • Be responsible for processing payments through electronic funds transfer (EFT) or cheque.
  • Generate all Accounts Receivable invoices, ensuring a high degree of accuracy, and maintain the AR tracking record.
  • Complete bank reconciliation for raffle account and GIC.
  • Follow established procedures for processing receipts, petty cash, credit card reconciliation, etc.
  • Assist with month-end journal entries and closing procedures.
  • Notifies Accountant of unresolved discrepancies and provides recommendations for resolution.
  • Maintain and update Finance-related files and documents in the office.
  • Assist with the preparation of the interim and annual financial audit for Second Harvest.
  • Support the Finance department with ad hoc requests and reports as needed.
  • Perform other related duties as required/assigned to support the overall goals of the organization.

  • Diligent and Results-Driven: You know how to get the job done, doing whatever it takes to meet and exceed goals.
  • Technical: You have a very high level of proficiency with Microsoft Office Suite (in particular, Excel). Previous experience with Financial Edge NXT, QuickBooks, or other accounting software programs would be considered an asset.
  • Previous education and/or experience in Finance, Accounting, or a related discipline would be considered an asset. Previous experience working with not-for-profits would be considered an asset.
  • Knowledgeable in GAAP.
  • Willing to hit the ground running, learn on the job, and resolve situations with a positive attitude.
  • Committed to a high standard of professional behaviour, and able to maintain strict confidentiality at all times.
